šŸ“‹ Overview

Running a construction company means making decisions every day about where the business stands, where it's headed, and whether the right conversations are being documented. Most of that information lives in someone's head or gets buried in email threads. The Admin section in Structur gives your leadership team a dedicated space to see the full picture at a glance, set and track company goals, and keep a structured record of leadership meetings.

Admin has three tools: the Company Dashboard shows a real-time snapshot of your business health including revenue vs. target, pipeline activity, accounts receivable, and bid hit ratio. Company Goals lets you set and track targets across revenue, operations, growth, and culture -- with milestones, priorities, and progress tracking built in. Leadership Meetings gives you a structured place to document every leadership meeting with an agenda, action items, decisions, and notes, so nothing gets lost between conversations.

šŸ” Understanding Admin

⚔ What It Does

The Admin section allows your leadership team to:

  • View a real-time company dashboard with YTD revenue vs. annual target, pipeline counts, accounts receivable aging, and bid hit ratio

  • Set an annual revenue target and track pace against it by day, week, month, quarter, or year

  • Create company goals across four categories -- Revenue, Operations, Growth, and Culture -- with priority levels and milestones

  • Track goal progress with an at-a-glance summary showing total goals, on track, at risk, and average progress

  • Document leadership meetings with structured fields for agenda items, action items with assignees and due dates, decisions, and notes

  • Review all action items across meetings in a single Action Items tab

  • Search your decisions log across all past meetings in one place

  • Export dashboard data for reporting or offline review

šŸ“… When to Use It

Admin is most valuable when you want to:

  • Give leadership a single view of company performance without pulling numbers from multiple places

  • Hold yourself and the team accountable to annual and quarterly goals with a written record of progress

  • Stop losing action items and decisions that come out of leadership meetings

  • Review accounts receivable aging and proposal win rate in the same place you review pipeline

  • Build a documented history of what your leadership team discussed and decided

šŸ“ Step-by-Step Instructions

1. Open Admin

  1. Click Company Operations in the left sidebar

  2. Click Admin in the top navigation bar

The Admin index page shows three cards: Company Dashboard, Company Goals, and Leadership Meetings. Click Open on any card to enter that tool.

2. Use the Company Dashboard

  1. Click Open on the Company Dashboard card

Time period filter -- Use the filter tabs at the top to change the time period: Today, This Week, This Month, This Year, Last Year, or Custom.

YTD Revenue vs. Annual Target -- Shows your year-to-date revenue against your annual target, the percentage of target reached, pace status, and Q1 revenue. Click Set Target to enter your annual revenue goal.

Summary stat cards -- Four cards show: Leads Pipeline (active leads), Projects Pipeline (active projects), Accounts Receivable (total outstanding), and Goal Progress (% completion across active goals).

Accounts Receivable Aging -- Breaks down outstanding invoices by age: 0-30 days, 31-60 days, and 60+ days, with a bar chart and dollar amount for each bucket.

Bid Hit Ratio -- Shows your proposal win rate as a donut chart alongside counts for Proposals Sent, Won, Pending, and Lost for the selected time period.

Click Export in the top right to download the dashboard data.

3. Set and Track Company Goals

  1. Click Open on the Company Goals card

The top of the page shows four summary stats: Total Goals, On Track, At Risk, and Avg Progress. Filter goals by category using the tabs: All Goals, Revenue, Operations, Growth, and Culture.

To create a new goal:

  1. Click + New Goal in the top right

  2. Fill in: Goal Title, Category (click the + button to add a custom category), Priority (High, Medium, or Low), Goal Description, Notes, and Milestones (click + Add to add milestone descriptions with target dates)

  3. Click Create Goal

Note: Goals you create here connect to the Goal Progress stat card on the Company Dashboard, so your leadership team can see overall goal completion at a glance.

4. Document Leadership Meetings

  1. Click Open on the Leadership Meetings card

The Leadership Meetings page opens with three tabs: All Meetings, Action Items, and Decisions Log.

To create a new meeting:

  1. Click + New Meeting in the top right

  2. Fill in: Meeting Title, Date and Time, Duration (min), Attendees, Agenda Items (type and press Enter to add each item), Action Items (add description, assign to a team member, set a due date), Decisions (type and press Enter to add each), and Meeting Notes

  3. Click Submit

The meeting appears on the All Meetings tab. Action items from all meetings are visible on the Action Items tab. All decisions from all meetings are searchable in the Decisions Log tab.

Note: You can add multiple agenda items, action items, and decisions to a single meeting. Press Enter after each item to add it to the list before moving to the next field.

⭐ Best Practices

  • Set your annual revenue target first -- the Company Dashboard's pace indicator only works once you have a target set, so enter it before you start reviewing dashboard data.

  • Create goals before your first leadership meeting -- having active goals in the system means Goal Progress on the dashboard reflects real numbers from day one.

  • Use milestones to break large goals into checkpoints -- a goal with clear milestones and dates is much easier to track and course-correct than a single end-of-year target.

  • Log action items during the meeting, not after -- entering action items with assignees and due dates at the time of the meeting ensures nothing gets dropped between the room and the follow-up.

  • Use the Decisions Log as a reference -- before making a call that touches something your leadership team has discussed before, check the Decisions Log to see what was already decided.

  • Export the dashboard before quarterly reviews -- a snapshot of the dashboard at the end of each quarter gives you a clean record of where the business stood at that point in time.

ā“ Common Questions

Q: Who can access the Admin section?

A: Access to Admin is controlled by your company's role and permission settings. It's designed for leadership team members who need company-wide visibility.

Q: How does Goal Progress on the Company Dashboard connect to Company Goals?

A: The Goal Progress stat card on the dashboard pulls from the goals you create in Company Goals. As you update progress on individual goals, the dashboard percentage updates to reflect the average across all active goals.

Q: Can I assign action items from a meeting to specific people?

A: Yes. In the New Meeting modal, each Action Item has an Assignees dropdown so you can assign it to one or more team members. All assigned action items appear in the Action Items tab.

Q: What's the difference between Agenda Items and Action Items in a meeting?

A: Agenda Items are the topics you plan to cover during the meeting. Action Items are tasks that come out of the meeting and need to be completed afterward, with an assigned owner and due date.

Q: Can I see all action items across all meetings in one view?

A: Yes. Click the Action Items tab on the Leadership Meetings page to see all action items from every meeting in one list.

Q: Can I add custom goal categories beyond the four defaults?

A: Yes. In the New Goal modal, click the + button next to the Category dropdown to add a custom category.

āš ļø Common Mistakes to Avoid

āŒ Don't

āœ… Do

Leave the annual revenue target blank

Set your target in the dashboard so the pace indicator has something to measure against

Create goals without milestones

Add milestone dates so you can track progress throughout the year, not just at the end

Skip the Decisions field in meetings

Log key decisions during the meeting so the Decisions Log stays useful as a reference

Enter action items without assigning them

Always assign an owner and due date so items don't fall through the cracks

Only check the dashboard at year end

Review it weekly or monthly so you can course-correct while there's still time
