Managing people well requires more than a roster and a pay schedule. Performance conversations, time off tracking, disciplinary records, and separation tasks all need a home -- and that home is usually scattered across emails, spreadsheets, and memory. The Human Resources module in Structur gives you a single place to manage your team's full employment lifecycle, from the moment someone is hired to the day they leave.

Every team member in your company has a dedicated record with seven tabs covering the full scope of HR work: their personal and employment information, performance reviews with scored categories and goals, PTO tracking with approval controls, a correction log with progressive discipline tracking, onboarding and offboarding checklists, and a document vault for employment paperwork. HR Settings lets you configure a designated HR Manager and set your company's PTO policy.

⚔ What It Does

The Human Resources module allows you and your team to:

  • View and manage team member profiles with personal information, role, department, hire date, and employment status

  • Run quarterly performance reviews scored across 10 categories with manager notes and goal tracking

  • Track PTO balances and history with annual allocation, usage, and remaining days per employee

  • Log corrections with incident descriptions, corrective actions, and a progressive discipline tracker showing Verbal Warning, Written Warning, Final Warning, and Termination counts

  • Complete onboarding checklists covering pre-hire tasks and first-day setup, loaded from customizable templates

  • Run offboarding checklists to track separation tasks and conduct a structured exit interview

  • Store employee documents in categorized files including Employment, Tax Forms, Certifications, Agreements, and Other

  • Configure HR settings to designate an HR Manager and set your PTO policy company-wide

Human Resources is most valuable when you want to:

  • Keep all employee HR records in one place instead of scattered across email and spreadsheets

  • Make sure every new hire and departing employee gets the same consistent process

  • Store signed offer letters, tax forms, certifications, and other employment documents tied to each person


šŸ“ Step-by-Step Instructions

1. Open Human Resources

  1. Click Company Operations in the left sidebar

  2. Click Human Resources in the top navigation bar

The Team Members index page opens showing all employees with columns for Team Member, Role, Department, and Hire Date. Click any row to open that team member's record.


2. Configure HR Settings

  1. Click HR Settings in the top right of the Team Members page

  2. The HR Settings panel slides out on the right with two sections:

HR Manager: Enter the HR Manager Name, Email, and Phone. This person is listed as the HR contact for employees and appears on correction logs and review documents.

PTO Policy: Set the Default Annual PTO Days -- this applies automatically to new team members. Toggle Require Approval on if PTO requests need manager approval before they're confirmed.


3. View and Edit a Team Member Profile

  1. Click any team member row to open their record

  2. The Overview tab shows two cards: Personal Information (Full Name, Email, Phone, Address, Emergency Contact) and Employment Details (Role, Status, Department, Hire Date)

  3. Click Edit Profile in the top right to update any of these fields


4. Run Performance Reviews

  1. Open a team member record and click Performance Reviews

  2. Click + New Review

  3. Fill in: Quarter (e.g. Q2 2026), Review Date, ratings for each of the 10 categories (Communication, Responsiveness, Collaboration/Teamwork, Problem Solving, Attendance/Punctuality/Reliability, Accomplishing Goals/Meeting Deadlines, Quality/Accuracy of Work, Use of Technology, Client Interactions, Overall) using Outstanding, Exceeded Expectations, Met Expectations, Requires Improvement, or Unsatisfactory, Manager Notes (summary, strengths, areas to improve), and Goals (click + Add for each goal, which tracks completion percentage)

  4. Click Create Review

The completed review appears on the Performance Reviews tab showing the overall score, all category ratings, manager notes, and goal completion percentages. The Current Goals section at the top shows active goals from the most recent review.

Note: Click Settings in the top right of the Performance Reviews tab to configure review settings for this team member.


5. Track Time Off

  1. Open a team member record and click Time Off

  2. The PTO Balance section shows Annual PTO Days, Used (current year), and Remaining

  3. Click + New Time Off Entry to log a request

  4. Fill in: Type (e.g. PTO), From and To dates, Total Days, and Status (Pending, Approved, etc.)

  5. Click Add Entry

The PTO History section shows all entries with Dates, Days, Status, and Action columns. Pending entries show Approve and Deny buttons.

Note: If Require Approval is enabled in HR Settings, new entries default to Pending until approved.


6. Log Corrections

  1. Open a team member record and click Correction Log

  2. Click + New Correction

  3. Fill in: Date of Incident, Correction Level (Verbal Warning, Written Warning, Final Warning, or Termination), Description of Incident (what happened, when, who was involved), and Corrective Action Required (specific changes expected and by when)

  4. Click Log Correction

The Correction History section shows all logged corrections with the correction level badge, date, and description. The Progressive Discipline Tracker shows a running count of each level.


7. Complete Onboarding

  1. Open a team member record and click Onboarding

  2. The Pre-Hire Checklist loads automatically with 8 default items covering background check, references, certifications, offer letter, start date, PPE, and workspace setup

  3. Check off items as they are completed -- the checklist tracks completion percentage

  4. Click Load Onboarding Checklist to load the second checklist

  5. The Onboarding Checklist loads with 10 default items covering I-9/W-4 forms, company email setup, safety orientation, supervisor meeting, Employee Handbook review, PPE, field shadowing, payroll, and Structur platform access

Note: Click Edit Templates in the top right to customize the default items on either checklist for your company.


8. Complete Offboarding

  1. Open a team member record and click Offboarding

  2. Click Offboarding Checklist to load the 10-item default checklist covering HR notification, final paycheck, equipment return, access revocation, and HR file archiving

  3. Check off items as they are completed

  4. Click Conduct Exit Interview to open the New Exit Interview modal

  5. Fill in responses to the exit interview questions covering departure reasons, recognition, management, communication, and job satisfaction

  6. Click Submit Entry

9. Manage Employee Documents

  1. Open a team member record and click Documents

  2. Click + New Document

  3. Fill in: Document Name (e.g. "Signed Offer Letter"), Category (Employment, Tax Forms, Certifications, Agreements, or Other), and upload the file (PDF, DOC, or image files up to 10MB)

  4. Click Upload Document


⭐ Best Practices

  • Set up HR Settings before adding team members -- configure your HR Manager and default PTO days first so every new team member starts with the right settings applied automatically.

  • Run reviews on a consistent quarterly schedule -- quarterly reviews create a reliable performance history and make annual conversations much easier to support with data.

  • Log corrections as soon as they happen -- documenting incidents while the details are fresh gives you an accurate record and protects both the company and the employee.

  • Use the Progressive Discipline Tracker as a reference -- before deciding on a correction level, check the tracker to see the full history so you're applying discipline consistently.

  • Complete onboarding checklists before the first day -- the Pre-Hire Checklist items like background check, certifications, and offer letter should all be done before day one, not after.

  • Start offboarding the moment you know someone is leaving -- loading the checklist early gives you time to work through each step properly instead of scrambling at the last minute.

  • Customize your templates -- the default onboarding and offboarding checklist items are a starting point. Edit them to match your actual processes so the checklists are useful every time.

Q: Where do I find the Human Resources module?

A: Click Company Operations in the left sidebar, then click Human Resources in the top navigation bar.


Q: Who can see employee HR records?

A: HR records are visible to users with access to the Human Resources module. Access is controlled by your company's role and permission settings in Structur.


Q: Can I customize the onboarding and offboarding checklists?

A: Yes. Click Edit Templates in the top right when you're on either the Onboarding or Offboarding tab to edit the default checklist items. Changes apply to future team members loaded from that template.


Q: What happens to PTO balance when a new team member is added?

A: New team members automatically receive the Default Annual PTO Days set in HR Settings. You can adjust the balance individually from the Time Off tab.


Q: Can I approve or deny a PTO request from the team member's record?

A: Yes. Open the team member's Time Off tab and use the Approve and Deny buttons next to any Pending entry in the PTO History section.


Q: What are the correction levels in the Correction Log?

A: There are four levels: Verbal Warning, Written Warning, Final Warning, and Termination. The Progressive Discipline Tracker shows a count of each level so you can see the full disciplinary history at a glance.


Q: What document types can I upload in the Documents tab?

A: You can upload PDF, DOC, or image files up to 10MB each. Documents are categorized as Employment, Tax Forms, Certifications, Agreements, or Other.


Q: Is the exit interview required during offboarding?

A: No. The exit interview is optional. You can complete the offboarding checklist without conducting an exit interview, or conduct it at any point during the offboarding process.
