Settings > Integrations is organized into categories of external services Structur connects to. Today that's Email and Accounting, with Storage and Calendar categories showing what's coming next. Connecting these integrations means information flows between your tools automatically instead of requiring manual re-entry, and your project communication and financial data stay organized inside Structur without disrupting how your team already works.

The email integration links your inbox to Structur so incoming project emails are automatically filed against the right leads and projects. The QuickBooks Online integration keeps your financial data in sync between Structur and your accounting software so your books stay accurate without double entry. Both are set up once in Settings and run in the background from that point on.


🔍 Understanding Integrations

⚡ What It Does

Settings > Integrations allows you to:

  • Connect your email, link Google, Microsoft, or any IMAP email server to Structur so incoming emails are automatically linked to the right projects

  • Send and receive project emails inside Structur, reply, forward, or CC emails to your project-specific address and Structur files them automatically

  • Connect QuickBooks Online, sync your accounting software with Structur so bills, expenses, invoices, and payments flow between both platforms without manual re-entry

  • View integration status per provider, each provider (Google Email, Microsoft Email, Other IMAP Server, QuickBooks Online) shows its own Connected or Not connected status

  • Disconnect an integration, remove a connected integration at any time

  • See what's coming next, Storage (Google Drive, Microsoft OneDrive, Dropbox) and Calendar (Google Calendar, Microsoft Office 365, Apple Calendar) categories are visible now, marked Coming Soon, along with Xero under Accounting

📅 When to Use It

Integrations is most valuable when you need to:

  • Keep all project-related email communication organized and searchable inside Structur without switching between apps

  • Eliminate double entry of financial data between Structur and QuickBooks

  • Ensure your books stay current automatically as bills, invoices, and payments are recorded in Structur

  • Switch email providers and reconnect with the new account


📝 Step-by-Step Instructions

1. Open Settings > Integrations

  1. Click Settings in the left sidebar

  2. Click Integrations in the Settings sidebar

The Integrations page is organized into four sections: Email, Accounting, Storage, and Calendar. Each row shows a provider with its status, either Not connected (grey) or Connected (green), and a button to Connect or Disconnect.


2. Connect Your Email, Google or Microsoft

  1. In the Email section, click Connect next to Google Email for Gmail, or Microsoft Email for Outlook and Microsoft 365

  2. A browser authentication window opens. Log in to your email account and authorize the connection

  3. Once authorized, the row updates to show the connected email address underneath the provider name, the status changes to Connected (green), and the button changes to Disconnect


3. Connect Your Email, Other IMAP Server

For email providers other than Google or Microsoft:

  1. In the Email section, click Connect next to Other IMAP Server

  2. The Connect IMAP Email Server modal opens

  3. Enter your IMAP Host (for example, imap.example.com)

  4. Enter the Port, defaults to 993, the standard secure IMAP port

  5. Enter your Username / Email

  6. Enter your Password

  7. The Use SSL/TLS toggle is on by default, leave it on for a secure connection

  8. Click Connect

Note: Contact your email provider or IT administrator if you're unsure of your IMAP host and port settings. Most business email providers publish these details in their help documentation.


4. How Email Integration Works

Once connected, Structur links incoming emails to the right projects automatically. You can also:

  • Reply from Structur, send and receive emails directly inside a lead or project's Emails module without leaving Structur

  • Forward or CC your project address, any email forwarded or CC'd to your project-specific Structur address is automatically filed against that project

  • Search your communication history, all project emails are stored and searchable inside Structur

Note: Email integration is available on Structur Pro and Enterprise plans. It is not available on Free or Starter plans.


5. Connect QuickBooks Online

  1. In the Accounting section, click Connect next to QuickBooks Online

  2. A QuickBooks authentication window opens. Log in to your QuickBooks Online account and authorize the connection

  3. Once authorized, the row updates and the status changes to Connected

Once connected, Structur automatically syncs bills, expenses, invoices, and payments between both platforms.

Important: Structur is always the starting point for financial data. Enter bills, invoices, and payments in Structur first and let the sync push the data to QuickBooks. Do not enter the same records in both systems or you will create duplicates.


6. Disconnect an Integration

  1. Find the connected provider's row on the Integrations page

  2. Click Disconnect next to it

  3. The row's status returns to Not connected

You can reconnect at any time by repeating the connection steps.


7. What's Coming Next

Two categories on the Integrations page are visible now but marked Coming Soon:

  • Storage, connect an external drive to store and access project files, photos, and documents directly from Structur: Google Drive, Microsoft OneDrive, and Dropbox

  • Calendar, connect a calendar to sync schedules, tasks, and milestones with your existing account: Google Calendar, Microsoft Office 365, and Apple Calendar

Xero is also listed under Accounting as Coming Soon, alongside the already-available QuickBooks Online.


⭐ Best Practices

  • Connect email before starting your first project, once connected, all incoming project emails file automatically. Connecting early means you don't miss communication that happened before the integration was set up.

  • Connect QuickBooks before entering financial data, syncing from the start avoids manual reconciliation and ensures your books stay accurate from day one.

  • Always enter financial data in Structur first, Structur pushes data to QuickBooks, not the other way around. Entering records in QuickBooks directly bypasses the sync and creates discrepancies.

  • Use the project-specific email address for all project communication, forwarding or CCing your Structur project address ensures every relevant email is filed automatically without relying on manual sorting.

  • Reconnect after changing your email password, if you update your email password, your integration may disconnect. Check Settings > Integrations and reconnect if the status shows Not connected.

  • Check back on Storage and Calendar, if your team relies heavily on Google Drive, OneDrive, Dropbox, or a synced calendar, keep an eye on the Coming Soon items for when they go live.


❓ Common Questions

Q: Which email providers does Structur support?

A: Google (Gmail and Google Workspace), Microsoft (Outlook and Microsoft 365), and any other email provider that supports IMAP via the Other IMAP Server option.


Q: Is email integration available on all plans?

A: No. Email integration is available on Structur Pro and Enterprise plans only. It is not included on Free or Starter plans.


Q: Does QuickBooks Desktop work with Structur?

A: No. Structur integrates with QuickBooks Online only. QuickBooks Desktop is not supported.


Q: Is Xero supported?

A: Not yet. Xero is listed under Accounting as Coming Soon.


Q: What financial data syncs between Structur and QuickBooks?

A: Bills, expenses, invoices, and payments sync automatically once the integration is connected. Structur is always the starting point, enter records in Structur and they push to QuickBooks.


Q: Can I connect more than one email account?

A: Each Structur account supports one connected email integration at a time. To switch providers, disconnect the current account and connect the new one.


Q: What happens to my data if I disconnect QuickBooks?

A: Disconnecting stops the sync going forward. Data that already synced to QuickBooks remains in QuickBooks. No data is deleted from either system when you disconnect.


Q: My email integration shows Not connected after I changed my password. What do I do?

A: Click Connect on that provider's row again and re-authenticate with your updated credentials. The integration will reconnect.


Q: Can I connect Google Drive, OneDrive, or Dropbox yet?

A: Not yet. These appear under the Storage category marked Coming Soon.


Q: Can I sync my calendar with Structur yet?

A: Not yet. Google Calendar, Microsoft Office 365, and Apple Calendar all appear under the Calendar category marked Coming Soon.
