Overview
Your Structur account settings are where your entire platform is configured. From how your company appears on proposals and invoices, to who on your team can access what, to how your integrations are connected, Settings is the control center for everything that touches how Structur works for your business.
Getting your settings right at the start and keeping them maintained as your team grows and your processes evolve, directly affects how smooth your day-to-day operations run. A well-configured account means proposals and invoices go out with the right logo and branding, team members see only what they need to see, and your financial integrations stay synchronized.
This article covers the full scope of company-wide settings: your profile and branding, team and permissions management, billing and subscription, integrations, security, data management, and how to recover deleted items when something gets removed by accident.
Understanding Company Settings
What It Does
Structur's Settings feature allows you to:
Update your personal profile - name, email, phone, profile picture, and password
Manage your company profile - company name, logo, address, phone, website, and license numbers
Invite, manage, and remove team members with role-based access control
Assign permission levels - Control exactly what each user can see and do
Manage billing and subscription - view your plan, update payment methods, download billing history, and change your subscription tier
Configure integrations - including QuickBooks Online connection status, sync settings, and default accounts
Export your company data for backup or compliance purposes
Use Restore Mode to recover deleted leads, projects, estimates, proposals, documents, and other records
When to Use It
Settings is most valuable when you need to:
Onboard a new team member and give them the right level of access
Update your company logo or branding before a proposal goes to a client
Change who receives which notifications to reduce inbox noise for your team
Audit your team's permission levels as roles change or people leave
Troubleshoot a QuickBooks sync issue or update integration settings
Recover a lead, project, or document that was accidentally deleted
Update your payment method or download an invoice for your accounting records
Step-by-Step Instructions
1. Access Settings
Click your profile picture in the bottom-left corner of Structur
Select Settings from the dropdown menu
The Settings panel opens with a left sidebar showing all available sections.
2. Update Your Personal Profile
Navigate to your personal profile section to update:
Name - your display name across the platform
Email - your login email (changes require email verification)
Phone Number - contact information for your account
Profile Picture - upload a professional photo
Password - update regularly for security
3. Update Your Company Profile
Under Company Settings, keep your company information current:
Company Name
Company Logo - appears on all client-facing documents including proposals and invoices
Address
Phone Number
Website
This information is pulled automatically into proposals, invoices, and other client-facing documents, so keeping it accurate ensures your brand is represented correctly every time.
4. Manage Users
View your team:
The team management section shows all users in your organization, including their name, role, email address, last active date, and permission level.
Invite a new team member:
Click New User
Enter their email address
Select their role (see permission levels below)
Send the invitation, they'll receive an email to create their account
Remove a team member:
Find the user in the team list
Click the three-dot menu icon next to their name
Select Remove User and confirm
6. Assign Role-Based Permissions
Each team member is assigned one permission level that control what they can access in Structur:
Assign permission levels carefully. Giving everyone Super Admin access removes the control that makes role-based permissions valuable. Match each person's level to what they actually need to do their job.
7. Manage Billing and Subscription
View your current plan:
See your active subscription details, plan name and tier, number of seats and billing cycle (monthly or annual).
Update your payment method:
Go to Billing
Click Update Payment Method
Enter updated credit card or payment information
Save changes
View billing history:
Access past invoices, download them as PDFs, review payment history, and check upcoming charges. Download invoices regularly for your accounting records.
Change your plan:
Click Upgrade Subscription
Review available options
Select your new plan and confirm changes
8. Configure Integrations
QuickBooks Online:
If QuickBooks is connected, you can:
View the current connection status
Configure sync settings
Set default accounts for how expenses, invoices, and payments map to QuickBooks
Disconnect the integration if needed
Other integrations:
Manage connections to email services, calendar apps, document storage, and other third-party tools from the integrations section.
9. Restore Deleted Items with Restore Mode
If a lead, project, document, or other record was deleted by accident, Restore Mode lets you view and recover it.
How to enable Restore Mode:
Go to Settings → Company
Toggle Enable Restore Mode to ON
Navigate to the section where the item was originally located (Leads, Projects, etc.)
What happens when Restore Mode is on:
Deleted items appear in their original sections with a visual indicator (typically grayed out or marked as deleted)
You can see all items deleted from your account
How to restore an item:
With Restore Mode enabled, find the deleted item in its original section
Click on the item
Click Restore to recover it
The item returns to its original active state
What can be restored:
Leads
Projects
Estimates
Proposals
Documents and files
Other deleted records
Important: Restore Mode is a viewing mode, it shows deleted items but doesn't automatically restore anything. You must individually select and restore each item. Some items may have a retention period after which restoration is no longer possible, if you need to recover something urgently, act quickly and contact support if needed. Remember to turn off Restore Mode when you're done to return to the normal view.
Best Practices
Keep company profile information current - Your company name, logo, address appear on every client-facing document. An outdated logo or wrong address on a proposal makes a poor impression.
Audit team permissions regularly - Review your team's permission levels at least quarterly, and always immediately when someone changes roles or leaves the company. Over-permission is a real risk on shared financial data.
Don't give everyone Admin access - Use the most restrictive permission level that still allows each person to do their job. Field staff don't need access to billing settings; estimators don't need to manage team permissions.
Download billing invoices regularly - Keep copies of your Structur billing history in your accounting records. Don't rely solely on what's in the platform.
Turn off Restore Mode when you're done - Leaving Restore Mode on changes what your team sees in their normal workflow. Enable it when needed, use it, and turn it off.
Common Questions
Q: How do I update the logo that appears on proposals and invoices?
A: Go to Settings → Company Profile and upload your updated company logo. The new logo will apply to all new documents generated from that point forward.
Q: I accidentally deleted a project. Can I get it back?
A: Yes. Go to Settings → Company, enable Restore Mode, navigate to your Projects section, find the deleted project (it will appear greyed out), and click Restore. Turn off Restore Mode when you're done.
Q: Is there a time limit on how long deleted items can be restored?
A: Some items may have a retention period after which they can no longer be restored. If you need to recover something urgently, enable Restore Mode immediately and contact [email protected] if the item isn't appearing.
Q: How do I disconnect or reconfigure the QuickBooks Online integration?
A: Go to Settings → Integrations, find QuickBooks Online, and you'll have options to view connection status, update sync settings, configure default accounts, or disconnect the integration entirely.
Q: Can I export all my company data from Structur?
A: Yes. Send an email request to [email protected] and the team will handle your backup.
Common Mistakes to Avoid
❌ Don't | ✅ Do |
Give all team members Admin access by default | Assign the most restrictive permission level that still allows each person to do their job |
Leave your company logo unconfigured | Set your company logo before sending the first proposal |
Forget to remove former team members from the account | Remove or downgrade users immediately when they leave or change roles |
Leave Restore Mode turned on after recovering an item | Turn off Restore Mode as soon as you're done so the normal view returns for all users |
Ignore billing history in Structur | Download billing invoices regularly for your accounting records |
